At Wowment, safeguarding your privacy is a priority. This Privacy Policy outlines how we collect, use, store, and protect your data in compliance with UK GDPR regulations. By using our platform, you consent to the practices described in this policy.

  1. Data We Collect

We collect the following information:

  • Personal Data: Name, mobile number, email address, and profile information (bio, mentoring goals/offers).
  • Interaction Data: Details about mentoring interactions, such as:
    • Partner matches.
    • Frequency and number of messages exchanged.
    • Logged meeting details, including date, time, duration, and summaries.
    • AI-generated meeting notes and transcripts (for calls via our platform).
  • Automated Monitoring:
    • AI monitors engagement frequency and identifies attempts to share private contact details (e.g., email or phone numbers) for safeguarding purposes.

Sensitive data (e.g., health or ethnicity) is not explicitly collected unless voluntarily provided by users in their bios or summaries.

  1. How We Use Your Data

Your data is used to:

  • Facilitate mentoring partnerships (e.g., matching mentors and mentees).
  • Monitor and track progress in mentoring relationships.
  • Provide personalised nudges, guidance, and reminders to enhance engagement.
  • Generate anonymised insights for programme summaries, including key themes and trends.
  • Support research initiatives to improve mentoring practices (with anonymised data only).
  • Prevent safeguarding breaches (e.g., through AI monitoring of messages).

In the future, we may also use data for:

  • Profiling and tailoring support to improve mentoring outcomes.
  • Research collaborations with academic institutions or data scientists (anonymised data only).
  1. Data Sharing

We only share data under the following circumstances:

  • Mentor-Mentee Interactions: Shared directly between matched partners.
  • Programme Administrators: Limited access to:
    • Interaction frequency.
    • Anonymised programme summaries (themes, trends).
  • Wowment Super Administrators: Full access for operational purposes, with strict internal controls.
  • Third-Party Researchers (Future Use): Anonymised data may be shared for academic or research purposes, with robust GDPR-compliant agreements in place.
  1. Data Retention
  • User data is retained for as long as the user is actively engaged on the platform.
  • Inactive accounts will be anonymised after 2 years of inactivity to allow for research and reporting purposes.
  • Anonymised data may be retained indefinitely for research and program improvement.
  1. User Rights

Users can:

  • View their data at any time by logging into their account.
  • Request corrections or updates to their data.
  • Request data deletion by contacting us at [email protected].
    • Note: Anonymised data may be retained for research purposes post-deletion.
  1. Security Measures

We take the following steps to protect your data:

  • AWS cloud hosting with robust encryption and two-factor authentication.
  • Secure user accounts with password protection.
  • Access restrictions for administrators based on role (e.g., program vs. super administrators).
  • AI monitoring for safeguarding without compromising privacy.

Recommendations:

  1. Conduct regular security audits to identify vulnerabilities.
  2. Use end-to-end encryption for all user communications.
  3. Implement IP whitelisting for admin logins.
  4. Train administrators on GDPR compliance and data security best practices.
  1. Data Transfers

Data is stored on AWS servers, which may be located outside the UK. However:

  • We ensure compliance with GDPR by relying on AWS’s robust security measures and Standard Contractual Clauses (SCCs) for international data transfers.
