We’re thrilled to introduce you to Wowment – a mentoring platform designed to connect you with your perfect mentoring partner in the simplest and most secure way possible. Our mission is to make mentoring easy, effective, and completely safe, all while keeping everything within WhatsApp.

Before getting started, it’s important for you to understand how we operate, how we protect your privacy, and the terms under which you’ll be using our platform.

By opting in, you’re agreeing to:

  1. Our Privacy Policy, which explains how we collect, use, and safeguard your personal data in compliance with UK GDPR.

AI supports — it doesn’t decide.  An AI system analyses your conversations to help your coordinator understand how your mentoring relationship is going and whether anyone needs support. A human is always in the loop.

Your data may contribute to wider learning.  Anonymised, aggregated data from across our programmes helps us and the organisations we work with improve mentoring for everyone. You will never be identifiable in these outputs.

Safeguarding comes first.  We monitor for safeguarding concerns and will act on them. Keeping interactions within the platform protects everyone.

Behave as you’d want others to behave.  Wowment is for people at all stages of life. Treat your partner and everyone on the platform with respect.

You’re in control.  You can request access to your data, ask for corrections, or ask us to delete it at any time.

Wowment Ltd Privacy Policy

Effective Date: 28th March 2026

Wowment Ltd is committed to protecting your privacy. This policy explains what data we collect, how we use it, who we share it with, and what rights you have. We comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who We Are

Wowment Ltd is the data controller for the personal data you provide when using the Wowment platform. We are registered in England and Wales.

2. What Data We Collect

2.1 Information you provide

  • Your name and mobile number
  • Your email address (where collected by your programme administrator)
  • A short profile including your bio and mentoring goals or offers
  • Meeting summaries or notes you log through the platform

2.2 Interaction data generated through the platform

Because Wowment operates as an intermediary for WhatsApp conversations, we collect:

  • The messages you send and receive through the platform (stored securely on our servers)
  • The date, time, and frequency of your messages
  • Meeting records, including date, time, duration, and any notes logged
  • Data about your matched partner (name, programme, contact reference)

2.3 Automated intelligence data

Wowment uses artificial intelligence (AI) to analyse your mentoring relationship. Specifically:

  • Message content and meeting notes are processed by a third-party AI system (the Claude API, provided by Anthropic, Inc.) to assess the health and progress of your relationship
  • The AI generates structured outputs including relationship health scores, engagement status categories, narrative summaries of progress, and potential safeguarding alerts
  • These outputs are used by your programme coordinator to support your mentoring journey
  • This constitutes automated processing of your personal data, including profiling. You have rights in relation to this processing — see Section 8

Plain English: An AI reads the pattern of your conversations and meetings to help your programme coordinator understand how your mentoring relationship is going and whether anyone needs support. It does not make final decisions about you — a human coordinator always reviews the outputs.

2.4 Aggregated and anonymised intelligence

Where data is sufficiently anonymised (meaning you cannot be re-identified), we may also use it to:

  • Identify sector-wide trends in mentoring relationship quality and outcomes
  • Benchmark individual programmes against aggregated data from similar programmes
  • Develop and improve our intelligence systems and matching algorithms
  • Produce insight products for commissioners, researchers, and other organisations (in anonymised form only)

2.5 Data we do not intentionally collect

We do not ask for your ethnicity, health status, or other special category data. However, if you choose to share such information voluntarily in your messages or profile, it will be stored as part of your interaction data and handled with additional care.

3. How We Use Your Data

3.1 To operate the platform

  • Connecting you with your mentoring partner via WhatsApp
  • Enabling your conversations to be relayed securely without sharing personal contact details
  • Sending you notifications, nudges, and reminders

3.2 To monitor and support your relationship

  • Analysing message frequency and content to assess engagement levels
  • Generating relationship health assessments reviewed by your programme coordinator
  • Flagging potential safeguarding concerns for human review
  • Producing personalised progress summaries shared with you and your coordinator

3.3 To improve the platform and sector knowledge

  • Improving our AI models and matching processes using anonymised data
  • Producing aggregated benchmarks and intelligence for use by other organisations and commissioners (anonymised only)
  • Collaborating with academic and research partners (anonymised data only, under appropriate data sharing agreements)

3.4 Legal basis for processing

We process your data on the following legal bases under UK GDPR:

  • Contract: to deliver the mentoring programme you have joined
  • Legitimate interests: to monitor safeguarding, generate programme intelligence, and improve the platform
  • Legal obligation: where required by law (e.g. reporting serious safeguarding concerns)
  • Consent: where we ask for specific consent (e.g. for future research participation)

4. AI Processing and Automated Decision-Making

We want to be transparent about how AI is used in Wowment, as this is central to how the platform works.

4.1 What the AI does

  • Reads message content and meeting notes to identify engagement patterns
  • Categorises your partnership status (e.g. Active, Needs Check-In, Stalled, Safeguarding Concern)
  • Generates written summaries of your relationship progress
  • Flags conversations that may indicate a participant needs additional support
  • Produces action recommendations for your programme coordinator

4.2 What the AI does not do

  • It does not make binding decisions about your participation without human review
  • It does not share the content of your conversations with anyone other than authorised coordinators
  • It does not use your data to train public AI models

4.3 Sub-processor: Anthropic, Inc.

Message excerpts and meeting notes are sent to the Claude API (operated by Anthropic, Inc., a US-based company) for processing. Anthropic does not retain this data for training purposes and processes it under a data processing agreement that includes Standard Contractual Clauses for international transfers, ensuring UK GDPR compliance.

4.4 Your rights around automated processing

You have the right to request human review of any AI-generated assessment that has a significant effect on you, to object to this processing, and to request an explanation of how a particular output was reached. See Section 8 for how to exercise these rights.

5. Who We Share Your Data With

5.1 Your mentoring partner

Your name and messages are shared with your matched partner as part of the programme. Personal contact details (phone numbers, emails) are not shared.

5.2 Your programme coordinator

Coordinators can see engagement frequency, AI-generated health summaries, action items, and safeguarding alerts. They cannot see the full text of your private messages unless a safeguarding concern requires it.

5.3 Wowment administrators

Wowment staff have full operational access to the platform with strict internal controls and role-based permissions.

5.4 Technology sub-processors

We use the following third-party services to operate the platform:

  • Amazon Web Services (AWS): secure cloud hosting and database storage
  • Anthropic, Inc. (Claude API): AI processing of message content and meeting notes
  • com: project management platform where coordinator action items and programme summaries are stored
  • WATI: WhatsApp Business API provider enabling message relay

These providers are bound by data processing agreements and may not use your data for their own purposes.

5.5 Commissioners and partner organisations

We may share anonymised, aggregated programme data with the organisation that commissioned your programme (e.g. a local authority, NHS trust, or employer). This data cannot identify you individually.

5.6 Research and intelligence partners (future)

In the future, we may share anonymised data with academic institutions or sector bodies for research purposes. We will notify you of any such sharing and ensure appropriate agreements are in place.

5.7 Legal disclosure

We may disclose data to law enforcement or statutory agencies where required by law or to protect the safety of a participant.

6. Data Retention

  • Your personal data is retained while you are an active participant on the platform
  • If your account is inactive for 24 months, your personal data will be anonymised
  • Anonymised data may be retained indefinitely for research and programme improvement
  • You may request earlier deletion at any time (see Section 8), subject to any legal obligations

7. Data Security

We take the following measures to protect your data:

  • All data is hosted on AWS with encryption at rest and in transit
  • Access to production systems is restricted by role and protected by multi-factor authentication
  • Safeguarding-related data is stored on a separate restricted board accessible only to authorised coordinators
  • Regular security reviews are conducted
  • Staff handling personal data receive data protection training

8. Your Rights

Under UK GDPR you have the following rights:

  • Access: request a copy of the data we hold about you
  • Rectification: ask us to correct inaccurate data
  • Erasure: ask us to delete your data (subject to legal obligations)
  • Restriction: ask us to limit how we use your data while a concern is resolved
  • Portability: receive your data in a structured format
  • Objection: object to processing based on legitimate interests, including profiling
  • Human review: request that an AI-generated decision or assessment be reviewed by a human

If you are not satisfied with our response, you have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.

9. Cookies

Our website uses only essential cookies to recognise returning users. We do not use tracking, advertising, or analytics cookies, and we do not use third-party cookies.

10. Special Provisions for Participants Under 16

If you are under 16, a parent or guardian must have given consent for your participation. By opting in, you confirm that this consent has been obtained. If you are a programme administrator onboarding participants under 16, you are responsible for ensuring consent has been collected before adding them to the platform.

11. Changes to This Policy

We will notify you of material changes to this policy via the platform or by email. Continued use of the platform after notification constitutes acceptance of the updated policy.

 

Wowment Ltd End User License Agreement (EULA)

Effective Date: 28th March 2026

This End User Licence Agreement (“Agreement”) is between you and Wowment Ltd and governs your use of the Wowment platform. By opting in, you agree to these terms. If you do not agree, you should not use the platform.

1. Eligibility

  • The platform is available to anyone who has been granted access by an authorised programme administrator or organisation
  • If you are under 16, you confirm that your parent or legal guardian has given consent to your use of the platform
  • You agree to use the platform only for lawful purposes and in compliance with these terms
  • Wowment reserves the right to suspend or remove access where these terms are breached

2. How the Platform Works

You should understand the following before using the platform:

  • Wowment operates as an intermediary for WhatsApp conversations. Your messages are routed through Wowment’s systems before being delivered to your partner
  • This means your messages are stored on Wowment’s servers and are accessible to authorised Wowment systems and staff
  • AI systems automatically analyse your messages and meeting notes to assess relationship health, generate summaries, and identify potential safeguarding concerns
  • Outputs from this analysis are shared with your programme coordinator and stored in Wowment’s coordination tools
  • You should therefore not share information in Wowment conversations that you would not be comfortable with your programme coordinator potentially being aware of

3. Intellectual Property

3.1 Wowment’s intellectual property

All rights in the Wowment platform, including its design, architecture, AI algorithms, WhatsApp relay system, intelligence engine, and patent-pending technologies, are owned by Wowment Ltd. You may not copy, reverse-engineer, or reproduce any part of the platform.

3.2 Your content

Messages, profile information, and meeting summaries you contribute remain your intellectual property. By using the platform, you grant Wowment a non-exclusive, royalty-free, worldwide licence to:

  • Store, relay, and display your content as necessary to operate the platform
  • Process your content using AI systems to generate relationship insights and programme intelligence
  • Use anonymised and aggregated derivatives of your content to develop the platform, produce benchmarking intelligence, and support sector research

This licence covers anonymised derivatives only — Wowment will not identify you individually in any intelligence product shared with third parties.

3.3 Confidentiality of conversations

Your conversations are treated as private between you, your partner, and authorised Wowment coordinators. Wowment does not claim ownership of the substance of conversations and will not share identifiable conversation content beyond the purposes set out in the Privacy Policy.

4. Data Processing

You acknowledge and agree that:

  • Your message content and meeting notes will be processed by a third-party AI API (Anthropic’s Claude) for the purposes described in the Privacy Policy
  • Structured outputs from this processing (including health scores, summaries, and safeguarding flags) will be shared with your programme coordinator
  • Anonymised aggregated data may be used to develop intelligence products made available to other organisations
  • No individually identifiable data will be included in any third-party intelligence products

5. Liability

5.1 Limitations

To the fullest extent permitted by law, Wowment is not liable for:

  • Loss of data, revenue, or indirect or consequential damages
  • The content of conversations between participants
  • Actions taken or not taken by participants outside the platform
  • Temporary unavailability of the platform for maintenance or technical reasons

5.2 No warranty

The platform is provided “as is”. We do not warrant that it will be error-free, uninterrupted, or that AI-generated outputs will be accurate in every case. Programme coordinators exercise human judgement alongside AI outputs.

5.3 Indemnification

You agree to indemnify Wowment against any claims, losses, or expenses arising from your misuse of the platform or breach of these terms.

6. Termination

6.1 By you

You may stop using the platform at any time by contacting your programme administrator or Wowment at info@wowment.app. Your data will be handled in accordance with the Privacy Policy.

6.2 By Wowment

We may suspend or terminate your access immediately if you:

  • Breach this Agreement or the Acceptable Use Policy
  • Engage in behaviour that threatens the safety of another participant
  • Attempt to circumvent safeguarding or privacy features
  • Use the platform for illegal or fraudulent purposes

7. Updates to the Platform and Terms

We may update the platform and these terms periodically. We will notify you of material changes via the platform or email. Continued use constitutes acceptance. You are responsible for reviewing updated terms when notified.

8. Governing Law

This Agreement is governed by the laws of England and Wales. Any dispute shall first be attempted through good-faith negotiation. If unresolved, disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

 

 

Wowment Ltd Acceptable Use Policy (AUP)

Effective Date: 6th January 2025

This policy sets out how we expect all users to behave on the Wowment platform. It applies to everyone — mentors, mentees, young people, volunteers, professionals, and any other participant. Violations may result in suspension or permanent removal from the platform.

1. What You Must Not Do

1.1 Harmful or illegal behaviour

  • Send abusive, threatening, or harassing messages to any participant
  • Engage in any activity that discriminates against or demeans someone based on race, religion, gender, sexual orientation, disability, age, or any other protected characteristic
  • Use the platform for any fraudulent, illegal, or unauthorised purpose
  • Share content that is obscene, defamatory, or wholly inappropriate for a mentoring environment

1.2 Safeguarding boundaries

  • Attempt to share or obtain private contact details (phone numbers, email addresses, social media handles) outside of the anonymised system the platform provides
  • Attempt to move your mentoring relationship outside the platform to unmonitored channels before authorised to do so by your programme
  • Encourage a participant to keep interactions secret from their coordinator, family, or support network
  • Engage in any behaviour that could constitute grooming, exploitation, or emotional manipulation

1.3 Technical interference

  • Attempt to gain unauthorised access to Wowment systems, accounts, or data
  • Introduce malicious code, viruses, or disruptive tools into the platform
  • Attempt to reverse-engineer or copy the platform’s technology, AI systems, or algorithms
  • Attempt to circumvent the platform’s AI monitoring or safeguarding features

1.4 Intellectual property

  • Copy, distribute, or modify any part of Wowment’s platform, code, or proprietary content without permission
  • Share content through the platform that infringes third-party intellectual property rights

2. What We Expect of You

2.1 Respect and professionalism

Engage with your partner and all platform users respectfully. Wowment serves people from all walks of life, ages, and backgrounds. The same standards of conduct apply whether you are a young person, a volunteer, a social worker, or a corporate professional.

2.2 Honest engagement

Engage in your mentoring relationship in good faith. If you are struggling with the relationship or the programme, speak to your coordinator rather than disengaging silently.

2.3 Safeguarding awareness

If you become aware of anything that causes you concern about the safety or wellbeing of your partner or any other participant, report it immediately to your programme coordinator or to Wowment at info@wowment.app. Do not attempt to manage safeguarding concerns unilaterally.

2.4 Account security

Keep your WhatsApp account secure. If you believe your account or your Wowment participation has been compromised, contact your coordinator or Wowment immediately.

3. A Note on AI Monitoring

You should be aware that your conversations and meeting notes are automatically monitored by AI systems as described in the Privacy Policy and EULA. This monitoring exists to support your relationship and to protect all participants. Attempts to circumvent or manipulate this monitoring are a breach of this policy.

4. Reporting Concerns

If you experience or witness behaviour that breaches this policy, please report it:

  • To your programme coordinator directly
  • By emailing info@wowment.app

All reports will be taken seriously and handled with discretion.

5. Consequences of Violations

Depending on the nature and severity of the breach, Wowment may:

  • Issue a formal warning
  • Temporarily suspend platform access
  • Permanently terminate platform access
  • Notify your programme administrator and/or commissioning organisation
  • Refer the matter to law enforcement or statutory safeguarding authorities

6. Changes to This Policy

We may update this policy at any time. Material changes will be communicated via the platform or by email. Continued use constitutes acceptance.
